Terms and Conditions of Use
 AlumnForce Client Website

Purpose

The website, available at https://phdalumni-uga.fris a private professional social network set up by Université Grenoble Alpes to allow its members (doctoral students, doctoral degree holders, recruiters, friends of the network) to support each other, keep in touch, network, share opportunities, exchange advice, showcase their training and bolster their professional integration, employment and careers. The website and its services are provided by the "AlumnForce" application published by MEVIA, a simplified joint stock company with a share capital of €11,300, registered with the Nanterre Trade and Companies Register under number B 501 609 143, whose registered office is located at 5 Rue Marguerite de Rochechouart, 75009 Paris, France.

The purpose of these terms and conditions of use is to regulate access to and use of the Website. We invite you to read them carefully.


  You are responsible for providing accurate information when you apply for an account. By activating your Account, requesting an Account, booking an event or making a purchase on the Website, you acknowledge that you have read and accept these terms and conditions of use in full.

 

Definitions

  • Terms beginning with a capital letter in the TCU have the following meaning (unless explicitly stated otherwise): Website refers to the website of the Université Grenoble Alpes "PhD Alumni" network, accessible at https://phdalumni-uga.fr/fr, offering access to the network's Services.
  • Users refers to members who can access services through an Account (doctoral students, doctoral degree holders, recruiters, friends of the network), individuals registering for an event and Administrators. Administrators can choose to limit access to services by type of User.
  • Administrators are individuals who may or may not be employed by Université Grenoble Alpes and who are allowed to use the AlumnForce application Modules for professional or management purposes: they have access to an Account allowing them to configure the Modules and to configure or take action on Users' Accounts.
  • Account refers to a valid account allowing access to the website's Services.
  • Content refers to all content that Users can download and access from the Site, including but not limited to articles, events, directories, profile sheets with Personal Data in accordance with the confidentiality preferences that each User has configured in their preferences.
  • Personal Data refers to any personal data about a natural person who is or may be identifiable.
  • Modules refer to the applications for managing a private professional social network developed by AlumnForce and made available as "software as a service" (SaaS).
  • Privacy Policy refers to the document drawn up by Université Grenoble Alpes explaining how it processes Users' Personal Data and describing Users' corresponding rights.
  • Services refers to the provision of Modules and additional services that AlumnForce may provide at the request of Université Grenoble Alpes, including configuration, assistance and training.

 

Scope of the Terms and Conditions of Use

These Terms and Conditions of Use ("TCU") apply to all use of and access to the Website's Services. The User agrees to them electronically when their Account is activated and whenever the TCUs are modified. The TCUs are available on the Website at all times. The professional social network is not available in open access. Access is limited to network Users who have accepted the TCUs and who have an Account with a username and password.

Users acknowledge having read and understood the TCU and agree to be bound by them.

Université Grenoble Alpes reserves the right to modify the TCU at any time and to notify Users by email of all new versions. Users agree to acknowledge these changes.

Description of services provided by Université Grenoble Alpes.

Université Grenoble Alpes offers the following services to its members:

  • An information and sharing service made up of network contributions (news, events, discussions, newsletters, wall activities, comments, internal messaging, notifications, sharing with social networks, etc.).
  • A User member directory with access to Users' profiles
  • An internal messaging system for User members to get in contact with each other
  • A job offer service
  • A participatory group service
  • A service for deals, projects and announcements
  • A sponsorship service

 

All these services aim to bring the members of Université Grenoble Alpes closer together to promote networking, mutual assistance, professional insertion and careers.

Accessing the services

Users of the site acknowledge that they have the skills and resources required to access this site and that they have ensured that their computer system does not contain any viruses and is in perfect working order.

To access the network, the User must be a doctoral student registered with the Université Grenoble Alpes Community or a graduate with a PhD from Université Grenoble Alpes (or one of the member establishments for degrees awarded prior to 2010) or a friend of the network, i.e., a graduate with a PhD obtained outside Université Grenoble Alpes and carrying out professional research activity within Université Grenoble Alpes. Users must have a permanently active email address to access and participate in the network. Administrators create a network access account after confirming that the user belongs to the university site as a doctoral student, doctoral degree holder or friend of the network.

Anonymous visitors can access the site and view articles and public events, but they cannot visit profiles, post comments or participate in discussions. They may have access to registration for events open to the public. In this case, they must accept the TCU to register to participate in such an event and provide at least their first and last name and an active email address.

Recruiters and representatives of a partner company or organisation may join the network with a restricted access to share job offers. These Accounts must be approved or created by an Administrator.

Users agree not to use a pseudonym or an email address that may infringe on third parties' rights (family name, brand, etc.) nor usurp a name, company name or trademark. They also certify the accuracy of the information they enter onto the platform.

The first time they log in, Users must accept and agree to the TCU, enter their password and update the preferences in their Account regarding notifications and their desired level of privacy for their profile information. An administrator may deactivate and delete their Account if it remains inactive for more than two years.

Administrators

Administrators acknowledge that they are authorised to use the Services and have accepted the TCU on behalf of Université Grenoble Alpes. Administrators configure User Accounts through imports or individual additions. They configure and approve User requests for access as partner company representatives. Administrators can send login details to each User. Administrators can block a User's access if needed.

User Accounts

Users may access the Services once they have agreed to the TCU and only if the User Account has first been created by an Administrator. Users must provide at least one active, non-university email address and include a password to login for the first time. They may then change and update their email address and password at any time in their Account management space. Their User menu allows them to access the various platform Modules according to the permissions for their User type.

 

Password

The password for each Account is strictly personal and private and must not be shared with third parties. Users are responsible if their password is lost or stolen. Users are advised to update their passwords regularly and to choose complex passwords comprised of at least eight characters with letters, numbers and special characters. Users can change and update their password at any time in their Account management space.

 

Using the services

The texts, software, images, videos, data and all other works on this site are protected by the French Code of Intellectual Property. Users of the site agree not to reproduce them without the explicit consent of Université Grenoble Alpes. Users agree not to copy or sell all or part of the Website or Modules.

Users assure Université Grenoble Alpes that they have the necessary rights, including all intellectual property rights over the articles, accounts, comments, images and data of any kind that they may publish on this Website, enabling them to grant the rights set out herein.

Users expressly agree to allow their accounts and comments to be reproduced or represented free of charge in media used to promote Université Grenoble Alpes for the full legal term of protection of these comments and accounts.

The messages and images posted are the responsibility of their author, who accepts all related responsibilities and consequences. In particular, the author agrees to defend Université Grenoble Alpes against all actions brought by third parties which have the content of their message as their cause, basis or origin. They agree to pay for any convictions and related defence costs or any settlement that may be due in the context of the dispute. The site's representatives deny any liability for the content of messages posted by users.

Users are responsible for their Accounts from the date they are activated. They must keep their Account secret and refrain from divulging it to another person. Users are solely responsible for the use made of their Account as well as the Content published on their Accounts.

For the respect and good of all, the following are prohibited: messages of an abusive, offensive, obscene or defamatory nature, content infringing the rights of others, violent comments or incitement to racism, pornography, paedophilia or crimes and misdemeanours, use of the site for propaganda purposes, commercial or political canvassing.

Users may report offensive messages to Administrators. Administrators may remove messages that do not respect the above conditions without warning.

Université Grenoble Alpes reserves the right to refuse access to the Website to any Visitor or User who has not respected applicable laws or these terms and conditions, without justification. If the Visitor or User believes a mistake has been made, they can contact Université Grenoble Alpes.

 

Participating in Groups

If the Groups Module is active, the Website allows Users to create private circles within the network. They can be organised into groups, for example around a city, region or professional topic. Each group can then have articles, events, forums, materials and a directory specific to their group. Each group and its members must respect the provisions in these TCUs.

 

Publishing job offers

All Website Users who can publish job offers agree not to use any prohibited or discriminatory criteria, including origin, gender, sexual orientation or identity, age, marital status or pregnancy, genetic characteristics, actual or assumed membership or non-membership of an ethnic group, nation or race, political opinions, trade union or mutualist activities, religious beliefs, appearance, etc. (Art. L 1132-1, L 1142-1, L 5531-2 of the French Labour Code).

 

Personal data protection and privacy policies

The data controller for the personal data referred to herein is Université Grenoble Alpes.

The User data initially incorporated into the Website comes from Université Grenoble Alpes. This data is required to obtain an account and access the services. At a minimum, this data includes the first name, last name, email address and academic courses.

Users may update other data themselves from their profile or import information from the ADUM student database.

Data that can be imported:

- Profile photo

- Introduction

- Personal details: student number, birth name, title, date of birth, nationality, personal email address(es) (main and secondary), mobile phone, address details (city, country). 

- Current job and contact details (position, typical role, company, typical sector)

- Previous job(s)

- Current situation and career desires

- Skills acquired and languages spoken

- Additional training

- Associations and charities, centres of interest

- Curriculum vitae (via an uploaded file or generated using the information described previously)

Users' identities are only publicly visible if the User has enabled their public profile or CV. Each User is free to enable and disable their public profile at any time.

Users' identities (first name, last name, photo, city, country, job title, company) are visible to other Users from the Directory (list and map view) and from any interaction on the professional social network through an activity or participation by the User in an article, event, comment, group or discussion.

The information gathered from the network's Users through their profile and form can only be seen by other network Users (doctoral students, doctoral degree holders, friends of the network, outside members, authorised recruiters, Administrators). Users can configure their privacy settings to limit access to their profile information by User type.

Users of the Recruiter type or representatives of partner companies provide the following information for the creation of their Accounts:

- Title, first name, last name, email address, position in the company

- Company name and address

Visitors from outside the network who register for an event must provide at least the following information:

- First name, last name, email address

and, for certain events, the following information:

- Address, telephone number, mobile number, date of birth, current position, company, business address, business email address.

When paying for a service on the Website (event ticket, dues, donations or subscriptions), we will ask you to provide a delivery and billing address so that we can draw up an order and receipt. We do not keep any card or account details. This information is processed by our online payment service provider.

When you use the Website, we automatically gather data, including personal data, about the services you use and how you use them. We require this information to execute the agreement between you and us, so that we can fulfil our legal obligations and our legitimate interest in being able to provide and improve the Website's features:
- Geolocation information: when you use certain Website features, we may collect information about your location using your IP address or your mobile device's GPS coordinates in order to improve your user experience. Most mobile devices allow you to control or disable how applications use location services in the device's settings menu.
- Usage information: we gather information about your interactions on the Website, such as your page or content views, searches, purchases and other actions on the website in order to improve the Website's Services.
  - Connection and device data: we automatically collect connection and device data when you access the Website. This information includes data on how you used the site, IP address, dates and times of access, data about the computer hardware and software, data about the device, data associated with the use of the device, unique identifiers, crash data and cookies. This information helps us to improve the Website's performance and the quality of the Services, as well as to detect and prevent fraud, spam, abuse, security incidents and other harmful activities.

Users agree to always provide truthful Personal Data and to update this data if necessary to ensure that it remains complete and accurate. We will contact you regularly to this effect.

User information contained in a professional network's database remains the property of the User. In accordance with the European regulations in force, the Website's Users have the following rights:

  • the right to access (Article 15 GDPR) and rectify (Article 16 GDPR), update and complete User data
  • the right to erase Users' personal data (Article 17 GDPR)
  • the right to withdraw consent at any time (Article 13-2c GDPR)
  • the right to limit processing of Users' data (Article 18 GDPR)
  • the right to oppose processing of Users' data (Article 21 GDPR)
  • the right to data portability for data Users have provided (Article 20 GDPR)

 

All network Users can freely modify or erase the data that they themselves have entered on the network. They can also request that the information concerning them provided by Université Grenoble Alpes be rectified, completed, clarified, updated or erased. No personal information is collected without network members' knowledge.

You can exercise this right:

  • by editing your information in the "My Profile" section of your Account space,

Université Grenoble Alpes is solely allowed to hold the data and undertakes not to sell or transmit it to third parties. It ensures that this data is not processed for purposes other than being made available on the Website. Université Grenoble Alpes may process your personal data as part of your access to or use of the Website. This data includes the data Université Grenoble Alpes collects when a User activates their Account or updates their User profile information.

However, quantitative elements concerning doctoral degree holder’s employability may be shared with the doctoral schools who are required to inform their PhD students about professional insertion prospects in their scientific disciplines.

The Université Grenoble Alpes Website is protected by the provisions of the French Code of Intellectual Property, including those on database protection. Any person who creates a file or database with the information present on the Université Grenoble Alpes Website and makes it available to third parties, whether for free or for compensation, without the agreement of Université Grenoble Alpes and in breach of the TCU, shall be liable for the civil or criminal penalties provided for in the Code of Intellectual Property.

Université Grenoble Alpes reserves the right to change this Privacy Policy in order to comply with changes to the laws and regulations in force. Insofar as is possible, Users will be notified of the changes made on our Website or by email at least thirty days before they come into force.

Data retention duration

We store your data only for the time necessary for the pursued purposes in accordance with the law.

Security

Website Users acknowledge having been informed of the risks related to using networks and the Internet, including the fact that their personal data may be copied or intercepted. Website Users acknowledge accepting these risks, for which Université Grenoble Alpes may in no case be held responsible. Université Grenoble Alpes mobilises all technical and human resources to guarantee a constant level of security in accordance with the current state of the art in this field and to prevent attacks from malicious people. Some of the protection measures we use to protect your information are firewalls and encrypted data transmission using SSL/HTTPS technology.

Guarantee

Université Grenoble Alpes is committed to taking special care to ensure the veracity of the information exchanged on the Website and to update it regularly. However, errors or omissions may be found. In this case, we invite you to report them to us so that we can make the necessary corrections. In the course of their occasional verifications and interventions, the Website Administrator agrees not to change the Content in such a way that would alter its meaning. However, it reserves the right to move Content if it finds a clear error in how it was categorised.

Université Grenoble Alpes does not guarantee that access to the Website will be uninterrupted, especially if maintenance or repair works are required or if there is disruption to Internet connections. It cannot be held liable for any technical defects and the related loss of data, nor any other indirect damage that may arise while using or be related to using the website.

Applicable law 

The TCU are governed solely by French law. Any dispute that may arise as to the validity, interpretation or execution, termination or breach of these TCU, and after all attempts at mediation have failed, shall be referred to the competent court.
